Walk into most small shops in India at 7 pm and you'll see the same thing: a queue at the counter, a bill book or an Excel sheet, and someone adding up tax with a calculator. It works until GST filing day, a stock mismatch, or a customer asking for a proper tax invoice on WhatsApp.
GST billing software fixes most of that. But there are hundreds of options, from free apps to expensive ERPs. This guide explains what a small business actually needs, what it should cost, and how to choose without regretting it six months later.
What GST billing software does for a small business
At its simplest, billing software turns every sale into a correct GST invoice and keeps your books in sync. A good one also:
- Calculates CGST and SGST (or IGST for inter-state sales) automatically from the item's tax rate
- Prints or shares a professional tax invoice with your GSTIN, the customer's GSTIN and HSN codes
- Reduces stock with every sale and adds it back with every purchase
- Records cash, UPI and credit, so you always know who owes you money
- Gives month-end GST summaries your CA can use to file returns

Must-have features (and nice-to-haves)
Must-have
- Fast invoicing: search or scan an item, set quantity, print. A bill should take seconds, not minutes.
- Correct GST handling: HSN codes, tax rates by item, B2B and B2C invoices, and place of supply.
- Inventory with low-stock alerts: live stock, stock value and a warning before you run out.
- Payments and dues: part payments, credit customers and a clear list of pending dues.
- GST-ready reports: sales, purchase and HSN-wise summaries with Excel export.
- User logins: so staff can bill without seeing your profit reports.
Nice-to-have
- Barcode label printing and scanning
- Quotations that convert to invoices
- Credit and debit notes for returns
- Sharing invoices on WhatsApp and email
- Multiple price lists for retail and wholesale
One-time licence or monthly subscription?
This is the decision most owners skip, and it matters more than the feature list.
Subscription software has a low starting cost but charges every month or year, often per user or per location. Over three to five years the total can be several times the first year's price, and you lose access if you stop paying.
One-time licence software costs more on day one but you pay once. For a shop that plans to use the same system for years, it is often the cheaper option overall.
A simple way to decide: add up three years of subscription fees for the number of users you need, and compare it with the one-time price plus any support charges.
What GST billing software costs in India
- Free invoice apps: fine for very small sellers, but usually limited in inventory, users and reports.
- Subscription tools: a monthly or yearly fee that grows with users, locations and add-ons.
- One-time licence software: a single payment. For example, BSmart GST billing software is currently offered at ₹30,000 one-time against an MRP of ₹60,000.
- Custom ERP: for larger businesses with special workflows, usually several lakh rupees.
A buyer's checklist before you pay
- Test with your own items. Ask for a demo using 10–20 of your real products and tax rates.
- Print a sample invoice. Check your logo, GSTIN, HSN codes, tax split and terms.
- Show the GST report to your CA. Make sure it gives what they need for GSTR-1 and GSTR-3B.
- Check speed at the counter. Time how long one bill takes with five items.
- Ask about setup and training. Who adds your items, sets up your invoice format and trains your staff?
- Ask about backup and support. What happens if your computer fails, and how quickly will someone help?
- Confirm the total cost. One-time or yearly, extra users, updates and support.
Common mistakes when choosing billing software
- Buying the cheapest app and outgrowing it in six months
- Choosing a heavy ERP for a single-counter shop
- Skipping item and opening-stock setup, so reports are wrong from day one
- Not training staff, who then go back to the bill book
- Ignoring support, until the day billing stops during a sale
